Bridgend Chess Club respects the privacy of its members, opponents, visitors and website users. This notice explains how the club uses personal information through this website and its related chess activities.

Who is responsible for your information?

Bridgend Chess Club is the data controller. Questions, correction requests and privacy requests can be sent to info@bridgendchess.com or through the website contact form.

Information we use

  • names, chess identifiers, club roles, team membership, ratings, fixtures, results and tournament records;
  • contact details for club officers, committee members, team captains and members;
  • member-account email addresses, securely hashed passwords and account status;
  • member-supplied profile details, photographs, biographies, links, games, comments and puzzle activity;
  • signup requests and communications sent through the contact form;
  • IP addresses, timestamps, security events and technical server logs used to operate and protect the site.

Where information comes from

Information may be supplied directly by the individual, recorded through club and league activity, or obtained from official chess sources. These sources include the East Glamorgan Chess Association (EGCA), the Welsh Chess Union (WCU), tournament organisers and published chess-results services.

Some officer and team-captain contact details are already published in official chess-authority contact directories. The club republishes only limited role-related details where reasonably necessary for club enquiries, fixture administration and organised chess. Ordinary members’ personal email addresses and telephone numbers are not intended for public display unless they choose to publish them or hold a role for which publication is reasonably necessary. Anyone concerned about a published detail may ask for it to be corrected, replaced or removed.

Why we use information and our lawful bases

  • Club and competition administration: our legitimate interests in operating the club, arranging fixtures, publishing chess results and maintaining accurate records.
  • Officer and captain contact details: our legitimate interests in enabling members, opponents and chess authorities to contact the appropriate club representative.
  • Member accounts and requested services: performance of the membership service requested by the member and our legitimate interests in providing secure online facilities.
  • Security and abuse prevention: our legitimate interests and legal responsibilities in protecting the website, its users and its information.
  • Optional public profile material: the member’s choice to provide or publish the material; permission may be withdrawn for future publication.
  • Legal and regulatory matters: compliance with a legal obligation where applicable.

Who receives information?

Information is accessible only where required to club administrators and authorised website operators. Necessary information may also be processed by the club’s hosting and email providers, Cloudflare for website security and Turnstile verification, and relevant chess authorities or tournament organisers. Public profiles, role contacts, fixtures, results and published games are visible to website visitors.

Cloudflare services may process technical information through infrastructure outside the United Kingdom. Cloudflare describes its safeguards in its privacy policy.

How long we keep information

We keep information only for as long as it is reasonably needed for the purpose for which it was collected. Membership and account records are reviewed when membership or access ends. Pending signup requests and routine correspondence are removed when no longer needed. Published chess results may be retained as part of the club’s historical sporting record. Security and server logs are removed through normal log rotation unless an event requires longer investigation. Backups expire through the normal backup-retention cycle.

Cookies and similar technologies

The site does not currently use advertising or audience-measurement cookies. It uses only cookies and related technologies needed to provide requested features and protect the service:

These technologies are used only for authentication, requested functionality and security and are considered strictly necessary. They are not used by the club for advertising or cross-site marketing. Browser settings can block cookies, but doing so may prevent login, signup or protected forms from working. If optional analytics or advertising technologies are introduced, this notice and the consent mechanism will be updated before they are enabled.

Security and automated calculations

We use access controls, encrypted HTTPS connections, password hashing, rate limiting and other safeguards appropriate to the site. Puzzle scores and provisional rating estimates are calculated automatically, but they do not produce legal or similarly significant decisions. Official grades and competition decisions remain with the relevant chess authority.

Your rights

Depending on the circumstances, you may ask for access to your information, correction, deletion, restriction, portability, or object to processing based on legitimate interests. You may also withdraw permission for optional future publication. Contact the club using the details above. We may need to verify your identity before acting on a request.

If you are unhappy with how your information is used, please contact the club first so the issue can be addressed. You also have the right to complain to the Information Commissioner’s Office.

Changes to this notice

We will update this page when the website’s data uses or service providers materially change. The date at the top shows the latest revision.
